Supply chain planning in pharmaceutical operations depends on accurate, timely data. Yet many teams still rely on fragmented spreadsheets and manual consolidation, limiting visibility and slowing decision making.
This was the reality for Mayoly’s APAC Supply & Demand Planning team. Managing monthly sales, inventory, and forecast data across 11 distributor markets became increasingly difficult as the region expanded. As planning cycles grew more complex, the team needed a more reliable way to consolidate information and support regional discussions.

Regional Planning Across Distributor Markets
Mayoly’s APAC team relied on standardized Excel templates submitted by multiple distributors across markets. This approach provided a common reporting structure, but the end-to-end process remained manual, from data uploads and processing to storage in a locally hosted database.
As the number of active markets increased, several constraints became more apparent:
Heavy dependence on manual effort and individual users
Delays in producing consolidated views for monthly reviews
Increased risk of errors affecting forecasts and planning discussions
Dashboards that were difficult to use during business reviews
Although Power BI reports were already in place, their usefulness was limited by how data was collected, processed, and maintained upstream.
The Need to Rethink the Planning Approach
As manual effort continued to grow, incremental adjustments were no longer sufficient. The APAC team needed a more dependable way to manage planning data across markets without adding burden for local teams.
At this stage, Mayoly engaged Kitameraki to support a broader rework of the planning approach. The focus was not on replacing familiar tools, but on establishing a foundation that could support current operations while remaining workable as the region expanded.
The teams aligned on a set of practical objectives:
Reduce reliance on manual consolidation and individual users
Ensure data was available in time for monthly reviews and forecasts
Create a structure that could support additional distributor markets

Meeting these objectives required changes to both the underlying data setup and the way planning information flowed across teams.
Building a Power Platform–Based Planning Foundation
Kitameraki worked with Mayoly’s APAC planners and global IT stakeholders to redesign the supply chain data flow, from distributor submissions through management reporting.
The work replaced a setup where data was stored on a single device with access limited to one user, creating high dependency and risk of data loss or human error. This was transitioned to a centralized, cloud-enabled data architecture, with dashboards designed around real monthly review workflows rather than static reporting outputs.
Governance and structure were introduced to support consistency as the region grew, with changes delivered through clear communication and coordination across regional and IT teams to allow adoption without disrupting ongoing operations.

With a more stable regional setup in place, teams spent less time preparing data and more time reviewing outcomes and next steps.

A reduction in manual effort, allowing planners to focus more on analysis rather than data preparation
More reliable and consistent data inputs for monthly reviews and forecasts
Improved visibility across markets, supporting cross-market comparisons and alignment
A measurable improvement in productivity compared to the previous manual process
A foundation that can support additional distributors and markets without reworking the process
The process moved away from manual consolidation toward a more consistent, repeatable regional setup.
